COMPLAINT & REPORTING MECHANISM

Confidential Complaint and Reporting Procedure
Effective Date: July 2026
1. Purpose
Agundiz Design S.C. is committed to maintaining a safe, respectful, and accountable environment for all beneficiaries, employees, volunteers, contractors, consultants, and partners.
This procedure establishes a confidential mechanism for reporting concerns related to misconduct, including Sexual Exploitation and Abuse (SEA), Sexual Harassment (SH), fraud, corruption, discrimination, retaliation, or other violations of organizational policies.
2. Scope
This procedure applies to:
- Employees
- Volunteers
- Contractors
- Consultants
- Board Members
- Beneficiaries
- Community Members
- Partner Organizations
3. What May Be Reported
Reports may include, but are not limited to:
- Sexual exploitation or abuse.
- Sexual harassment.
- Abuse of authority.
- Child safeguarding concerns.
- Fraud or corruption.
- Discrimination or harassment.
- Retaliation against a person who reports misconduct.
- Any violation of the Agundiz Design S.C. Code of Conduct or PEAS Policy.
4. How to Report
Reports may be submitted confidentially through one or more of the following channels:
- Executive Director (Founder)
- Official organizational email
- Written complaint
- Telephone or in-person meeting
- Any confidential reporting channel established by Agundiz Design S.C.
Anonymous reports will be accepted whenever possible.
5. Confidentiality
All complaints shall be handled confidentially.
Information will only be shared with individuals responsible for receiving, assessing, and investigating the report.
6. Protection Against Retaliation
No employee, volunteer, beneficiary, contractor, consultant, or community member shall suffer retaliation for reporting a concern in good faith.
Retaliation is itself a violation of organizational policy and may result in disciplinary action.
7. Response
Upon receiving a complaint, Agundiz Design S.C. will:
- Record the complaint.
- Assess immediate safety needs.
- Protect confidentiality.
- Refer the matter for investigation when appropriate.
- Provide information on available support services when needed.
- Take corrective action if misconduct is confirmed.
8. Approval
This Complaint & Reporting Mechanism is approved and adopted by Agundiz Design S.C.
